Room Reservation Policy

 

 

A list of all rooms and a short description of each can be found at the bottom of this page.

Reservations can only be made by residents of Gutmann College House.

Only GCH Senior Staff will be allowed to make recurring reservation request. 

 

Reading days this year are 4/27-4/30.  After 4/30, the GCH office will not be approving reservations until Fall semester. 

If you do not have a reservation, you can check the reservation calendar to see if the room is reserved. Unreserved rooms are availble first-come, first-serve to residents by requesting access at the Info Center. 

Gutmann College House residents have access to Common Rooms (music practice rooms, group study rooms, club rooms/kitchens, Yoga Room 210, and Living Room 114) at all times in accordance with the House’s room use policy and when it does not conflict with an existing reservation. Programming Spaces (the Multipurpose Room 101, Classroom 208, and Seminar Room 209) require a room reservation to gain access. Room reservation requests must be submitted at least 48 hours prior to the scheduled event. All requests must be approved by the Gutmann House Office. We ask that you request a space for no more than 2 hours at a time. To reserve:

  1. Make sure that you’ve signed in with your PennKey and password <<<<< !
  2. Submit the room reservation form https://gutmann.house.upenn.edu/node/add/room-reservation
  3. You will be notified via email whether your request has been approved or declined.  Same-day requests may not be processed. Until you receive confirmation via e-mail, your room reservation is not approved.
  4. The person submitting the reservation must be the person gaining access to the space at the Information Center.

 

Usage and Expectations:

  • By reserving a space in GCH there is an assumption of liability for any repairs, replacements, cleaning, and/or other treatment a space requires because of you or your organization/club’s use.
  • Spaces should be left clean, free of personal belongings, and with lights and other electronic equipment turned off.
  • Furniture is not to be moved between or out of spaces.
  • Community kitchens have specific standards for cleanliness and safety which can be found in the Kitchen Use Policy
  • Reservation and access privileges may be revoked for violations of these policies.

Reservation Guidelines:

  • Rooms are reserved on a first come, first-served basis.
  • Requests are approved by the Gutmann House Office from Monday through Friday from 10 AM to 4 PM. Reservations made after 4pm on Friday afternoon will not be approved until Monday at 10am.
  • Residents may only reserve one space at a time. Spaces will be available to individuals/groups for one-time use only.
  • Room reservation requests must be submitted at least 48 hours prior to the scheduled event. No same-day requests will be processed or approved.
  • Requests should be for a time no longer than two hours. Reservations should not be before 8am and after 11:59pm.
  • Gutmann College House reserves the right to cancel or deny a reservation request at any time.
  • Please note that GCH  residents and staff are given priority.
  • Reservations cannot be made more than a month out from the requested date and residents may not have more than one reservation in that time frame. 
  • Events with minors will not be permitted

 

Reservation Process & Room Types:

Common Rooms: these spaces are available for reservation but can also be used by Gutmann College House on a first-come, first-served basis when they are not reserved. Residents can access these rooms at any time using their PennCards. Please be respectful to those who have reserved the space ahead of time.

Small rooms with a TV (with an HDMI port), 6 chairs, a large table, and a wall mounted whiteboard. 

Music Rooms 213 and 214

Small rooms with a piano and small whiteboard each, a music stand, and a small table. (Please note that the soundproofing is unfortunately not ideal.)

Club Room 461

Club room (without a kitchen), suitable to a gathering of 20 or so people at most. 

Main Club Room 260

Large club room with a TV, long sofas, long (bar like) table, a few smaller tables, counter space, and kitchen. Maximum occupation: 64. 

Club Rooms/Kitchens (1 per odd numbered floor, except floor 1)

Medium sized club rooms with a TV, a U shaped sofa, a few smaller tables, counter space, and kitchen. Maximum occupancy: 49. 

Community Kitchen 433

(Fully stocked) small kitchen. Some counter space, but less seating than other kitchens can provide. 

Living Room 114

Large area suitable for multiple small gatherings at once. 

Yoga Room 210

Small room with a wall of mirrors and blinds that can be lowered. We suggest no more than 10 people at once and, ideally, closer to 3 or 4 depending on the activity. Maximum occupancy: 23.

Large room with a projector, several tables, and around 50 seats. Maximum occupancy: 139.

Classroom 208

Small room with 16 individual wheeled seats with attached desks, projector, and wall mounted whiteboard. Maximum occupancy: 27.

Seminar Room 209

Small room with 12 tables arranged like a conference room (you may request a different arrangement), projector, 26 wheeled chairs, a mobile lectern, and wall mounted whiteboards. Maximum occupancy: 36. 

You will be notified via email whether your request has been approved or declined.

Those approved will visit the Information Center when your reservation starts to get access to the room on your PennCard. The person who made the reservation is the only one who can get access to the space on their card.
